Lingering Odors Between Airbnb and Vrbo Stays: A Host’s Turnover Checklist
Your cleaner has finished, but there is still a noticeable smell—and the next guest is due soon. For a short-term rental host, the immediate job is to understand the concern, coordinate access and decide what can realistically be completed before arrival. Choosing an odor treatment comes after that first review.
This guide is for Airbnb, Vrbo and independently managed vacation rentals across Dallas–Fort Worth. It addresses lingering property odors, not platform claims or reimbursement decisions.
Start with a specific handoff from your turnover team
Ask the cleaner or co-host to describe what they notice and where it is strongest. “The property smells” is difficult to act on; “a smoke-like smell is strongest in the living room near the sofa” gives the next person a useful starting point. Keep a short record of when the odor was noticed, which areas are affected and what cleaning has already been completed. An odor description is a clue, not proof of its source.
Check whether the concern is limited to one room, an item of furniture or several areas. Separate ordinary turnover tasks—such as removing trash and laundering used linens—from a persistent odor that remains afterward. If an active leak, damaged material or other unresolved source is involved, arrange the appropriate repair or specialist cleanup.
Photograph the affected areas and finish regular cleaning first
Before cleaning, the property manager or co-host should photograph any visible spills, stains, residue, discarded items or affected materials connected with the odor concern. Include a wider view of the room and close-ups of the relevant areas. Record where the odor is strongest, when it was noticed and any known history so the photos have useful context. Keep guest identities and personal information out of the images.
Regular turnover cleaning must be completed before ozone treatment can begin. Remove trash and food waste, complete routine surface cleaning and laundering, and let the team know what products and work have already been used. Any remaining source-cleaning needs, affected materials or repairs are reviewed before ozone is selected and scheduled.
Share these details when requesting odor help
- Location and access: City or ZIP code, property type, who will provide access and whether the space is vacant. Send access codes privately only when service is arranged.
- Affected areas: Rooms, furniture or materials involved, with relevant photographs. Exclude guest names, personal belongings and other identifying details.
- History: Known spill, smoking, pet or cooking concerns; previous products or treatments; and any known moisture issue. Identify what is observed versus what is suspected.
- Turnover schedule: The requested completion time, next check-in and any cleaner, painter or maintenance visit already booked.
- Decision maker: Who can approve the scope, price and any additional work if the assessment finds more than expected?
Your initial inquiry can still be short. The city, odor concern and affected rooms are enough to start; the remaining details help us plan the job.
A check-in deadline needs a realistic service plan
Let us know about the next arrival early. Time may be needed for source cleaning, selected treatment and any applicable drying, ventilation or return-to-use procedures. An empty calendar window does not establish that every treatment fits within it.
We review access, materials and the proposed work before confirming availability and expected duration. If the scope will not fit the available window, you need that information before making arrangements for the next stay. Odor service is not a substitute for the host’s own readiness review or any required safety checks.
Coordinate the cleaner, co-host and odor specialist
Choose one point of contact and share the same short scope with everyone involved. Tell us about work already completed and anything still scheduled. Repeating an unknown product or adding another treatment without a clear handoff can make it harder to understand the remaining concern.
Our work can include hands-on source cleaning and additional odor treatment where appropriate. Routine housekeeping, laundry, repairs and replacement of damaged materials may remain with your existing team or another contractor. Cross Timbers does not provide water-damage restoration, mold remediation or biohazard cleanup. We discuss these boundaries when planning the job.
Already using a small, briefcase-style ozone generator?
If a small generator has not resolved the odor, the next step is to look at its output alongside the room’s volume, air movement, ventilation and affected materials. A unit with insufficient output for the space may not establish the intended treatment conditions within the available turnover window.
Cross Timbers uses larger blower-style ozone units with output ratings up to 100,000 mg/hr. We plan equipment and air movement for the property alongside hands-on source cleaning, with attention to the rooms, layout and materials involved.
For Airbnb and Vrbo hosts, that means discussing the entire job—from the remaining odor source to access and the next check-in—rather than simply repeating the same machine cycle.
Controlled ozone treatment takes place in unoccupied spaces, with ventilation and clearance procedures before people and pets return.

Document the result before the next handoff
Record the areas treated, any remaining concerns and the job-specific instructions provided. Have your designated property contact review the space under the agreed return-to-use conditions. If an odor remains or returns, note its location and timing and contact us to discuss the next step. A photograph can document the work area; it cannot demonstrate that an odor is gone.
For hosts with several rentals, keeping the same simple record for each property makes future inquiries easier. Recurring service arrangements can be discussed based on locations, access, actual scope and your operating schedule.
